These Terms govern access to and use of the BotLinkd website, business messaging platform, Android application, APIs, webhooks, integrations, automation, AI-assisted features and related services.

BotLinkd is provided for authorised business messaging, team collaboration, automation and connected operational workflows.

Consent and Compliance

Customers are responsible for recipient opt-in, lawful messaging, accurate data and compliance with Meta, WhatsApp and applicable laws.

No-Refund Billing

Paid subscriptions and services are non-refundable once processed, except where applicable law requires otherwise or a verified billing error occurred.

Free Standard Support

Active customers receive standard product and technical support without a separate standard support fee.

Please read these Terms before using BotLinkd

By creating an account, purchasing or renewing a service, accepting an order, connecting an integration or using BotLinkd, you agree to these Terms and the policies incorporated by reference. If you act for a company or other organisation, you confirm that you have authority to bind that organisation.

Agreement, eligibility and incorporated policies

These Terms form a legally binding agreement between the person or organisation using BotLinkd (“Customer”, “you” or “your”) and BotLinkd (“BotLinkd”, “we”, “us” or “our”).

You may use BotLinkd only if:

  • you are legally capable of entering into a binding agreement;
  • you are using the service for an authorised business purpose;
  • the information supplied during registration and billing is accurate;
  • your use is permitted by applicable law and third-party platform rules; and
  • you have authority to act for the business account you register or connect.

These documents form part of the agreement where relevant:

  • Privacy Policy;
  • Refund & Cancellation Policy;
  • the selected plan, invoice, proposal, order form or written service scope;
  • feature-specific terms displayed in the platform; and
  • applicable Meta, WhatsApp, Google, Shopify and integration-provider terms.

If a signed agreement or written order expressly conflicts with these Terms, the signed agreement or written order controls only for the specific conflicting subject.

The BotLinkd platform

BotLinkd is an independent enterprise SaaS business messaging platform built on the official WhatsApp Business Platform Cloud API. BotLinkd is not owned or operated by Meta.

Depending on the selected plan and configuration, BotLinkd may provide:

  • two-way customer messaging and a multi-agent shared inbox;
  • contact organisation, assignments, notes, tags and conversation history;
  • approved message-template management, campaigns and scheduling;
  • automation, auto-replies and workflow configuration;
  • AI-assisted replies, conversation context and human handover controls;
  • delivery tracking, analytics and reporting;
  • PDF, image, video, audio and voice-note support where available;
  • API keys, REST endpoints, webhooks and integrations; and
  • Android, browser-based and other supported access methods.

Features, limits, provider availability and technical requirements may vary by plan, region, account status, third-party policy and product configuration.

Account registration and security

You agree to:

  • provide accurate, complete and current account and business information;
  • keep administrator, billing and contact information updated;
  • use strong credentials and protect passwords, API keys, tokens and connected accounts;
  • limit access to authorised users and assign appropriate permissions;
  • promptly disable access for staff or contractors who no longer require it;
  • notify BotLinkd promptly of suspected compromise, unauthorised access or credential disclosure; and
  • remain responsible for activity performed through your account, users, credentials and integrations.

BotLinkd may require identity, business, phone-number or payment verification before activating or continuing certain services. You must not misrepresent an identity, business, brand, authority or relationship with another person or organisation.

Customer responsibilities

You are responsible for:

  • the legality, accuracy and quality of data uploaded, collected or connected to BotLinkd;
  • providing required privacy notices and obtaining valid permissions;
  • maintaining evidence of recipient consent and opt-out requests;
  • selecting appropriate templates, recipients, campaign timing and message content;
  • reviewing automation, AI outputs and workflow behaviour before production use;
  • maintaining your own business records and any backups required by your operations;
  • configuring user permissions, integrations and security settings appropriately;
  • ensuring your products, services and messaging are lawful; and
  • responding to customer complaints, rights requests and regulatory obligations relating to your business.

BotLinkd provides tools and infrastructure. You control your messaging purpose, audience, content, customer relationships and business decisions.

WhatsApp, Meta and messaging compliance

Your use must comply with the applicable WhatsApp Business Messaging Policy, WhatsApp Business Terms and Meta platform rules.

You agree to:

  • obtain valid opt-in before initiating messages where required;
  • honour opt-out, stop and do-not-contact requests promptly;
  • use approved templates and messaging categories correctly;
  • avoid spam, misleading claims, impersonation and prohibited content;
  • maintain acceptable messaging quality and customer engagement practices;
  • comply with restrictions relating to regulated or prohibited goods, services and organisations; and
  • cooperate with reasonable compliance, verification and remediation requests.

Meta or WhatsApp may reject templates, restrict messaging, change pricing, reduce limits, suspend numbers, disable accounts or alter platform access. Those actions are controlled by the relevant third-party provider, not BotLinkd.

Acceptable use

You must not use BotLinkd to:

  • send unsolicited bulk messages, spam, scams, phishing or fraudulent content;
  • harass, threaten, exploit, discriminate against or abuse any person;
  • promote illegal, prohibited, infringing or unsafe products, services or activity;
  • distribute malware, malicious links, harmful code or deceptive downloads;
  • impersonate another person, business, authority or brand;
  • collect, buy, scrape or use contact data without appropriate authority;
  • bypass opt-out controls, messaging limits, billing controls or security measures;
  • gain unauthorised access to accounts, systems, data or credentials;
  • interfere with platform availability, integrity, monitoring or security;
  • perform abusive load testing, denial-of-service activity or automated extraction;
  • reverse engineer, decompile or attempt to discover non-public source code except where a non-waivable law permits it;
  • resell, sublicense or provide shared access outside an authorised commercial arrangement;
  • use the service to violate privacy, intellectual-property, consumer-protection or communications laws; or
  • assist another person in doing any prohibited activity.

Customer contacts, messages and uploaded content

As between you and BotLinkd, you retain your lawful rights in customer contacts, messages, templates, files, business knowledge and other content you submit to the service (“Customer Content”).

You grant BotLinkd and its authorised service providers a limited, non-exclusive right to host, transmit, reproduce, transform and otherwise process Customer Content only as reasonably necessary to:

  • provide and secure the requested service;
  • execute your messages, campaigns, automations and integrations;
  • provide support and troubleshoot technical issues;
  • prevent fraud, abuse and security incidents;
  • comply with lawful requests and applicable obligations; and
  • perform processing otherwise authorised by you.

You represent and warrant that:

  • you have the rights and lawful basis required to submit and process Customer Content;
  • Customer Content and your instructions do not violate law, contract, privacy or intellectual-property rights;
  • contact and consent records are accurate and appropriately maintained; and
  • you will not submit unnecessary sensitive data or credentials in messages, prompts or support requests.

AI-assisted features and human oversight

BotLinkd may provide AI-assisted replies, classification, summaries, retrieval from approved business knowledge and related automation. These features are intended to support a business’s own customer communication and operational workflows.

  • AI output may be incomplete, inaccurate, outdated or unsuitable for a specific customer.
  • You are responsible for testing configurations, knowledge sources and escalation rules.
  • Human review is required where an output may materially affect a person, payment, legal right, safety, health or important business decision.
  • You must not represent AI output as professional legal, medical, financial or regulated advice unless appropriately reviewed and lawfully provided.
  • You must not use BotLinkd to provide a prohibited general-purpose AI service through WhatsApp.
  • AI use must remain consistent with current Meta and WhatsApp terms, including restrictions applicable to AI providers and business-solution data.
  • You must use human handover, per-contact AI pause or platform-wide AI pause controls when direct agent control is appropriate.

BotLinkd may change, limit or disable an AI configuration where necessary to comply with third-party policy, law, safety, infrastructure or product requirements.

Relevant WhatsApp Business Solution terms may change over time. Customers remain responsible for ensuring their AI use case remains permitted by the current provider terms.

APIs, webhooks and integrations

API keys, secrets, tokens and webhook credentials are confidential account credentials. You must store them securely and must not expose them in public code, client-side applications, screenshots, tickets or repositories.

You agree to:

  • use documented endpoints and supported authentication methods;
  • respect applicable rate, volume, plan and technical limits;
  • validate webhook authenticity where supported;
  • implement retries, logging and error handling responsibly;
  • avoid excessive, abusive or duplicative requests;
  • rotate compromised credentials promptly; and
  • maintain compatible, secure code for systems under your control.

BotLinkd may revoke or rotate credentials, apply rate limits or restrict an integration when required for security, stability, billing, abuse prevention or policy compliance.

Third-party integrations may change or stop functioning because of provider updates, permission changes, outages or discontinued APIs. BotLinkd does not control those third-party decisions.

Shopify app and third-party applications

The BotLinkd Shopify app may be offered without a separate app subscription fee. This does not mean that every connected service is free.

Depending on configuration, charges may still apply for:

  • BotLinkd standalone SaaS plans or separately purchased services;
  • WhatsApp/Meta messaging, template or usage charges;
  • third-party applications, payment processors or infrastructure;
  • custom development, migration, consulting or managed services; and
  • taxes, bank fees and currency conversion.

Shopify and other third-party platforms are governed by their own terms, permissions, review processes and availability. You authorise BotLinkd to exchange the data necessary for the integrations you install and configure.

Plans, fees, taxes and billing

Paid BotLinkd services are billed according to the selected plan, invoice, order, quotation or written service scope. Billing may be monthly, annual, usage-based, one-time or another agreed frequency.

  • Fees are payable in advance unless an invoice or agreement states otherwise.
  • You authorise the applicable payment method to be charged for purchases and renewals.
  • Plan limits, users, messages, contacts, storage, API usage and features may differ.
  • Usage exceeding included limits may be restricted or billed where disclosed.
  • Prices may exclude taxes, Meta/WhatsApp charges, bank fees and currency conversion.
  • You are responsible for applicable taxes unless valid exemption documentation is accepted.
  • Failed or overdue payments may result in restriction, suspension or termination.

BotLinkd may change pricing prospectively. Material changes to a recurring BotLinkd fee will be communicated through the website, account, invoice or another reasonable channel before they apply to a future renewal, where required.

Meta, WhatsApp and other providers may change their own charges, billing categories or pricing independently. BotLinkd may pass through or reflect those provider changes where applicable.

No automatic free trial; demo or trial only on request

BotLinkd does not automatically include or activate a free trial on the website, during registration or within a paid package.

A prospective customer may request a guided demo or limited trial. Any evaluation is provided only after BotLinkd confirms its availability, duration, features, usage limits and conditions.

  • A request does not guarantee approval or immediate access.
  • Evaluation access may be limited, monitored, changed or withdrawn.
  • A request-only trial does not create a continuing right to free service.
  • A later paid subscription remains subject to the no-refund policy.

Public product demonstrations may also be available through BotLinkd’s official YouTube channel.

Refunds, cancellation and renewal

Payments are final and non-refundable once processed, except where applicable law requires otherwise or BotLinkd verifies a billing error.

BotLinkd does not provide refunds or prorated credits for unused time, change of mind, non-use, selecting the wrong billing period, partial billing periods, cancellation after renewal or account restriction caused by customer conduct.

You may cancel a recurring subscription through available billing controls or by contacting support. Cancellation:

  • must be completed or confirmed before the next renewal is processed;
  • stops future renewal after successful completion;
  • does not reverse a payment already processed;
  • does not create a free account or permanent free plan; and
  • may allow access until the paid period ends unless suspension or termination occurs earlier.

Free standard support and onboarding

Active BotLinkd customers receive standard product and technical support without a separate standard support fee.

Standard support may include:

  • general account and platform guidance;
  • reasonable troubleshooting of supported BotLinkd functionality;
  • help understanding standard settings and documented features;
  • guidance for standard onboarding and official Cloud API connectivity; and
  • assistance identifying whether an issue relates to BotLinkd or a third party.

Standard support does not automatically include custom development, extensive migration, managed campaigns, dedicated personnel, third-party system repair, custom integration work, on-site service or specialised consulting. Those services may require a separate written scope and fee.

Response and resolution times vary according to priority, complexity, account access, provider dependencies and support volume. Unless a signed service-level agreement states otherwise, support targets are not guaranteed response or resolution commitments.

Service availability, maintenance and changes

BotLinkd works to maintain a secure and reliable service, but does not guarantee uninterrupted, error-free or universally available operation unless a signed service-level agreement expressly states otherwise.

Availability may be affected by:

  • scheduled or emergency maintenance;
  • internet, hosting, DNS, payment or infrastructure failures;
  • Meta, WhatsApp, Google, Shopify or other provider outages and changes;
  • recipient devices, networks, blocks or message-delivery conditions;
  • customer code, configuration, credentials, data or integrations;
  • security incidents, abuse prevention or legal requirements; and
  • events beyond reasonable control.

BotLinkd may add, modify, replace, limit or discontinue features to improve the service, respond to provider changes, protect security or comply with law. Where reasonably practical, material changes to a paid core feature will be communicated in advance.

Intellectual property and licence

BotLinkd and its licensors retain all rights in the platform, software, interfaces, designs, documentation, workflows, trademarks, branding and technology, excluding Customer Content and third-party materials.

Subject to payment and compliance with these Terms, BotLinkd grants you a limited, non-exclusive, non-transferable, revocable right to access and use the purchased service for your internal authorised business purposes during the applicable service period.

You must not:

  • copy, distribute, sublicense, sell or commercially exploit the platform except as expressly authorised;
  • remove ownership, copyright or trademark notices;
  • create a competing product using non-public BotLinkd materials or access;
  • use BotLinkd branding in a way that implies an unauthorised partnership or endorsement; or
  • publish non-public benchmarks, security tests or technical findings without responsible prior notice and permission where legally permitted.

Feedback may be used by BotLinkd without restriction or payment, provided it does not identify confidential Customer Content.

Confidentiality

Each party may receive non-public business, technical, security, pricing or operational information from the other. The receiving party will use reasonable care to protect confidential information and use it only for the relationship contemplated by these Terms.

Confidential information does not include information that:

  • becomes public without breach of an obligation;
  • was lawfully known without confidentiality restriction;
  • is received lawfully from another source without restriction; or
  • is independently developed without using the other party’s confidential information.

Disclosure may be made where required by law, regulation or valid legal process, subject to available notice and protective measures.

Restriction, suspension and termination

BotLinkd may restrict, suspend or terminate access when reasonably necessary because of:

  • non-payment, failed payment or suspected payment fraud;
  • account compromise, security risk or unauthorised access;
  • spam, scams, abuse, illegal activity or missing recipient consent;
  • violation of these Terms, law or third-party platform policies;
  • activity that threatens messaging quality, users, providers or infrastructure;
  • an order or request from Meta, WhatsApp, a provider or competent authority;
  • attempts to bypass limits, monitoring, billing or security; or
  • discontinuation of the service or an essential third-party dependency.

Where appropriate and legally permitted, BotLinkd may provide notice or an opportunity to correct an issue. Immediate action may be taken for security, fraud, abuse, legal compliance or urgent provider enforcement.

You may stop using the service and cancel renewal in accordance with the Refund & Cancellation Policy. Termination does not eliminate payment obligations, liabilities or provisions intended to survive, including confidentiality, intellectual property, disclaimers, indemnity and liability limits.

Disclaimers

To the maximum extent permitted by applicable law, BotLinkd is provided on an “as available” and “as is” basis. Except for an express written commitment, BotLinkd disclaims implied warranties including merchantability, fitness for a particular purpose, non-infringement and uninterrupted availability.

BotLinkd does not warrant that:

  • every message will be delivered, read or acted upon;
  • Meta or WhatsApp will approve a business, number, template or use case;
  • a phone number or business account will not be restricted or banned;
  • third-party services will remain available or unchanged;
  • automation or AI output will always be accurate or appropriate;
  • the service will satisfy every regulatory or industry requirement; or
  • use of the service will produce a particular revenue, conversion or business result.

You are responsible for evaluating whether BotLinkd is suitable for your use case and for implementing appropriate human review, backups, consent, compliance and business-continuity measures.

Limitation of liability

Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

To the maximum extent permitted by law, BotLinkd and its affiliates, personnel and suppliers will not be liable for indirect, incidental, special, exemplary, punitive or consequential loss, or for loss of profit, revenue, goodwill, opportunity, anticipated savings, reputation, data or business interruption.

To the maximum extent permitted by law, BotLinkd’s aggregate liability arising from or relating to the service will not exceed the BotLinkd fees actually paid by the Customer for the affected paid service during the three months immediately preceding the event giving rise to the claim.

This limitation applies regardless of the legal theory and even if a remedy fails of its essential purpose, but does not apply where prohibited by applicable law or superseded by a signed written agreement.

Indemnification

To the extent permitted by law, you will defend, indemnify and hold harmless BotLinkd, its affiliates, personnel and suppliers from third-party claims, losses, penalties, damages, costs and reasonable legal fees arising from:

  • your Customer Content, products, services or messaging campaigns;
  • your failure to obtain consent or provide required privacy notices;
  • your violation of law, these Terms or third-party platform policies;
  • your infringement of privacy, intellectual-property or other third-party rights;
  • misuse of your account, credentials, API keys or integrations; or
  • fraud, spam, prohibited content, abuse or unlawful conduct by you or your users.

BotLinkd will provide reasonable notice of an eligible claim and cooperation at your expense. You must not settle a claim in a way that admits fault by or imposes an obligation on BotLinkd without written consent.

General legal terms

Changes to these Terms

BotLinkd may update these Terms to reflect service, provider, legal, security or commercial changes. The revised version will be published with a new effective date. Where appropriate, material changes may also be communicated through email, account notice or the platform.

Notices

BotLinkd may provide notices through the account, registered email, invoice, website or another reasonable electronic method. You are responsible for keeping account contact details current.

Assignment

You may not assign or transfer the agreement without BotLinkd’s prior written consent. BotLinkd may assign the agreement in connection with a merger, reorganisation, financing, sale of assets or transfer of the relevant business.

Force majeure

Neither party is responsible for delay or failure caused by events beyond reasonable control, including natural disasters, conflict, labour disruption, internet or utility failure, cyberattack, government action, provider outage or third-party platform change. This does not excuse payment obligations already due.

Severability and waiver

If a provision is unenforceable, it will be limited or removed only to the minimum extent necessary, and the remaining provisions will continue. Failure to enforce a provision is not a waiver.

Entire agreement and order of precedence

These Terms and incorporated documents form the entire agreement regarding the service unless a signed agreement or written order states otherwise. A signed agreement controls over an order form; an order form controls over these Terms; and these Terms control over general website or sales materials for the same subject.

Governing terms and dispute escalation

Any governing-law, jurisdiction or dispute provision stated in a signed agreement, order form or invoice applies. If none is stated, applicable law determines the governing law and competent forum. Before filing a formal claim, the parties should first attempt in good faith to resolve the issue through written notice and reasonable business escalation, except where urgent injunctive or protective relief is required.

Non-waivable rights

These Terms do not limit statutory consumer, privacy or other rights that cannot lawfully be waived, although BotLinkd is primarily offered as a business-to-business service.
