A controlled campaign workflow

Build campaigns around groups, approved templates and clear status logs

BotLinkd’s Campaign Manager converts an approved WhatsApp template into an operational campaign. The sender selects a connected platform, audience group and template, maps the approved variables, reviews the message and chooses whether to save, schedule or send.

After execution, the campaign record provides aggregate totals and recipient-level message statuses returned by WhatsApp. This helps teams distinguish messages that were sent, delivered, read or failed without inventing performance percentages.

Audience group selection

Choose the BotLinkd customer group intended for the campaign instead of indiscriminately messaging every stored contact.

Variable-level message review

Map template values and verify the rendered body, customer-facing content and approved buttons before sending.

Persistent campaign records

Keep the campaign name, group, message type, template, schedule, status and execution logs together.

Confirmed BotLinkd functionality

Campaign features available in the BotLinkd workflow

Each capability below reflects the actual campaign creation, dashboard and log interfaces—not projected conversion or engagement claims.

Structured campaign creation

Name the campaign, select the connected WhatsApp platform, choose a customer group and use an approved template.

Template variable mapping

Map approved template placeholders such as {{1}}, {{2}} and {{3}} to the values required for the campaign message.

Supported template buttons

Preview and send the buttons already approved with the selected template, including supported reply or call-to-action components.

Save campaigns as drafts

Prepare a campaign without sending it immediately so the audience, template and variable values can be reviewed first.

Schedule future sending

Set a supported campaign schedule instead of sending immediately, subject to account, template and platform availability.

Execute campaigns from BotLinkd

Send the configured template campaign to the selected opted-in customer group from the connected WhatsApp account.

Campaign lifecycle dashboard

Review Total, Draft, Scheduled and Executed campaign counts and search the campaign list from one dashboard.

Recipient-level status logs

Review available Sent, Delivered, Read and Failed status events, including per-phone reporting where WhatsApp returns them.

Template campaign builder

Map approved template fields before campaign execution

The campaign form keeps the audience, approved template, body variables and buttons visible in one workflow so the sender can review what recipients will receive.

  5. 05

    Review message-status logs

Open the campaign record to inspect totals and available Sent, Delivered, Read and Failed events.

Campaign and recipient logs

Review the message events WhatsApp makes available

Open an executed campaign to see its total recipient count and status summaries. The log can also show the phone number and available Sent, Delivered or Read state for each recipient, plus failed-message records.

A zero Delivered or Read count does not automatically mean the campaign system failed. Later statuses depend on recipient availability, network conditions, platform processing, read-receipt availability and other WhatsApp delivery conditions.

Sent

The message request was accepted for processing and a sent status event was received.

Delivered

WhatsApp reported that the message reached the recipient’s device or returned a later read event that implies delivery.

Read

WhatsApp returned an available read-status event for the recipient. Read reporting is not guaranteed for every message.

Failed

The platform returned a failure event. The campaign log can help identify which recipient message did not complete.

Campaign applications

Use the correct approved template for each business purpose

Audience permission, template category and message purpose should be decided before a campaign is created.

Order and delivery updates

Send approved Utility templates for payment confirmation, shipment, delivery or other transaction-related updates.

Promotions and offers

Use approved Marketing templates for opted-in audiences, with supported media, variables and call-to-action buttons.

Appointment reminders

Schedule approved reminders, confirmations or rescheduling prompts for relevant customer groups.

Service notifications

Send planned account, billing, renewal or operational notices using the correct approved template category.

Segmented group communication

Select an appropriate customer group instead of sending the same campaign to every stored contact.

Commerce follow-ups

Connect supported store workflows and customer groups to approved campaign or notification templates.

Responsible WhatsApp campaigns

Group selection does not replace recipient opt-in

A contact being stored in BotLinkd or assigned to a group does not by itself create permission to send a WhatsApp campaign. The business must maintain valid opt-in for the message purpose, use the correct approved template and honour opt-out requests.

Campaign-specific questions

WhatsApp Campaign Manager FAQs

Answers focused on BotLinkd’s campaign form, audience groups, templates, scheduling and message-status logs.

How do I create a WhatsApp campaign in BotLinkd?

Open Campaigns, select New Campaign, enter a campaign name, choose the connected WhatsApp platform, select an opted-in customer group, choose the message type and approved template, map the template values, review the message preview and then save as draft, schedule or send.

Can I save a campaign without sending it?

Yes. BotLinkd provides a Save As Draft option. Drafts let an authorised user review the group, selected template, variables and message preview before execution.

Can I schedule a WhatsApp campaign?

Yes. BotLinkd provides a Set Schedule option for supported campaigns. The final execution depends on the configured schedule, active account, approved template, connected platform and applicable WhatsApp limits.

How is the campaign audience selected?

The campaign creator selects a customer group configured in BotLinkd. The business must ensure that every intended recipient has valid WhatsApp opt-in for the message purpose and that opt-out requests have been honoured.

Can I use template variables and buttons?

Yes. The campaign workflow supports values for approved template variables such as {{1}}, {{2}} and {{3}}. Supported buttons associated with the selected approved template are shown in the campaign preview and sent as part of that template.

Which campaign and message statuses can BotLinkd show?

The campaign dashboard can show lifecycle counts such as Total, Draft, Scheduled and Executed. Campaign logs can show available recipient-message events including Sent, Delivered, Read and Failed, with per-phone status reporting where WhatsApp returns the event.

Why can Delivered or Read remain at zero after a campaign is sent?

A sent event does not guarantee immediate delivery or a read event. Network conditions, invalid or unavailable recipients, message expiration, platform processing, user settings and other delivery conditions can affect later statuses. In some cases, a read event can imply delivery even when a separate delivered webhook was not received.

Does BotLinkd guarantee delivery, read rate or campaign conversion?

No. BotLinkd reports the status events available from WhatsApp but cannot guarantee delivery, reading, clicks, replies, revenue or conversion. Results depend on audience permission, contact quality, template content, timing, recipient behaviour and platform conditions.

Can I send a campaign without an approved WhatsApp template?

Business-initiated campaign messages generally use an approved WhatsApp template. The template must match the message purpose and current WhatsApp category and policy requirements. Meta controls approval, rejection and categorisation.

Are WhatsApp messaging charges separate from the BotLinkd subscription?

They may be. BotLinkd plan charges and Meta or WhatsApp messaging charges are separate unless a written plan or quotation explicitly states otherwise. Review the current pricing page and applicable Meta rate information before sending.
