Scope and acceptance

This Refund & Cancellation Policy applies to subscriptions, add-ons, usage-based services, onboarding, custom services and other paid BotLinkd products or services unless a separate signed agreement or written order expressly states different terms.

By placing an order, making a payment, activating a paid plan or renewing a service, the customer confirms that they have reviewed the relevant features, limitations, pricing and billing period.

Nothing in this policy removes a right that cannot legally be excluded under applicable law.

No automatic free trial

BotLinkd does not automatically activate a free trial through the website, registration process or any paid package. Creating an account, viewing a plan or beginning registration does not create a right to free use of the platform.

  • No trial is automatically included with a monthly or annual plan.
  • No payment is treated as a refundable trial payment.
  • No account automatically converts to a permanent free plan after cancellation or expiry.
  • Published plans should be evaluated before payment is submitted.

Requesting a demo or limited trial

Prospective customers may contact BotLinkd to request a guided demonstration or a limited trial before purchasing. A request does not guarantee approval or immediate access.

When BotLinkd approves a demo or trial, its duration, available features, usage limits, onboarding requirements and expiry will be communicated separately. A request-only evaluation:

  • is not automatically activated on the website;
  • may provide limited or controlled access;
  • may be changed, declined or ended where operational, security or compliance requirements make that necessary;
  • does not create a continuing entitlement to free service; and
  • does not make a later paid subscription refundable.

No-refund policy

All payments are final and non-refundable once processed.

BotLinkd does not provide refunds, partial refunds, prorated refunds, credits or payment reversals merely because a customer no longer needs the service, changes their mind, does not use the account, selects the wrong billing period or cancels before the paid period ends.

The no-refund policy includes, where applicable:

  • monthly, quarterly, annual or other prepaid subscription charges;
  • unused days or unused portions of a billing period;
  • upgrades, add-ons, additional users or account capacity;
  • setup, onboarding, migration, configuration or activation work;
  • custom development, consulting or separately agreed services;
  • messaging, usage, template or communication charges already incurred;
  • third-party platform, payment-processing or integration charges; and
  • taxes, currency-conversion costs or bank charges, where applicable.

A request for cancellation does not create a right to a refund for a payment that has already been processed. Exceptions apply only where required by applicable law or where BotLinkd verifies a duplicate, incorrect or technical billing error.

Billing and third-party charges

The customer is responsible for reviewing the selected plan, billing frequency, included limits and any applicable usage or third-party charges before payment.

  • BotLinkd subscription fees and WhatsApp/Meta messaging or usage charges may be separate, depending on the selected service and billing arrangement.
  • Third-party charges are governed by the relevant provider's pricing, policies and billing records.
  • BotLinkd cannot refund a third-party fee that has already been incurred, settled or passed through, except where required by law or the relevant provider confirms an adjustment.
  • Customers are responsible for taxes, bank fees and currency conversion charges applied by their bank, payment provider or jurisdiction.

WhatsApp Business Platform use is also subject to applicable Meta and WhatsApp requirements, including messaging quality, customer consent and policy compliance. Customers should review the official WhatsApp Business Platform policy guidance.

Cancellation and future renewal

Customers may cancel a recurring subscription through the account billing controls where available, or by submitting a cancellation request through BotLinkd support.

  • Cancellation must be completed or confirmed before the next renewal payment is processed.
  • Cancellation prevents future renewal; it does not reverse a payment that has already been processed.
  • No prorated refund or credit is issued for unused time remaining in the current paid period.
  • Unless the account is suspended or terminated earlier for a payment, security, legal or policy reason, paid access may continue until the current billing period ends.
  • After the paid period ends, the account may become inactive, restricted or unavailable. Cancellation does not automatically create a free account or free plan.

The customer should retain the cancellation confirmation and verify that future renewal has been stopped. A request submitted after a renewal is processed remains subject to the no-refund policy.

Free standard product support

BotLinkd provides standard product and technical support to active customers without charging a separate standard support fee. Support may include:

  • general account and platform guidance;
  • help understanding available features and settings;
  • reasonable troubleshooting for supported BotLinkd functionality;
  • guidance relating to standard onboarding and official Cloud API connectivity; and
  • assistance identifying whether an issue relates to BotLinkd or a third-party service.

Free standard support does not automatically include custom software development, extensive data migration, managed campaigns, dedicated staff, on-site services, third-party system repair, custom integrations or consulting outside standard platform support. Those services may require a separate written scope and quotation.

Support response and resolution times can vary according to issue complexity, account access, third-party dependencies and support volume. Free support is not a guarantee of immediate resolution or uninterrupted third-party services.

Account suspension, restriction and termination

BotLinkd may restrict, suspend or terminate access when reasonably necessary to protect users, the platform, third-party services or legal and policy compliance. Reasons may include:

  • non-payment, failed payments or suspected payment fraud;
  • spam, unsolicited messaging or missing customer opt-in;
  • scams, deceptive activity, harassment or abuse;
  • prohibited products, services or content;
  • unauthorized access, security threats or misuse of credentials;
  • attempts to bypass platform, billing or usage limits;
  • violation of BotLinkd terms, applicable law or Meta/WhatsApp policies; or
  • activity that threatens messaging quality, platform integrity or other customers.

Where permitted, BotLinkd may provide notice or an opportunity to correct an issue. Immediate action may be taken where required for security, legal compliance, fraud prevention or third-party policy enforcement.

Suspension or termination caused by customer conduct, non-payment or policy violation does not create a right to a refund or credit for the remaining subscription period or charges already incurred.

Billing errors, duplicate charges and payment disputes

The no-refund policy does not prevent BotLinkd from investigating a genuine duplicate charge, technical billing error or payment that the account holder reasonably identifies as unauthorized.

To request a billing review, contact BotLinkd promptly and provide:

  • the account email or business identifier;
  • invoice, order or transaction reference;
  • payment date and amount;
  • a clear description of the suspected error; and
  • supporting bank or payment evidence with sensitive information redacted.

BotLinkd will review available account, invoice and payment records. Any verified correction will be handled in the appropriate form, subject to applicable law, payment-provider rules and the facts of the transaction.

Customers should contact BotLinkd before initiating a chargeback so the issue can be investigated. Fraudulent, abusive or unsupported chargebacks may result in account restriction or suspension.

Changes to this policy

BotLinkd may update this policy to reflect changes in services, billing methods, legal requirements or third-party platform rules. The updated version will be published on this page with a revised “Last updated” date.

Unless applicable law requires another approach, the version in effect when a payment or renewal is processed applies to that transaction. Continued use after an update is subject to the current policy and the applicable Terms & Conditions.

Yes. A prospective customer may request a guided demo or a limited trial. Any demo or trial is provided only after BotLinkd confirms the request, scope, duration, feature access and applicable limits. Approval is not automatic.

BotLinkd follows a no-refund policy. Payments are non-refundable after they are processed, including for unused time, change of mind, partial billing periods or failure to use the service. Mandatory legal rights and verified duplicate or technical billing errors are handled as required.

Cancellation stops future renewal after it is successfully completed or confirmed. It does not reverse a payment already processed. Unless access is suspended or terminated for a policy, security or payment issue, paid access may continue until the end of the current billing period.

Standard product and technical support is available to active customers without a separate support fee. Custom development, extensive migration work, third-party configuration, managed services or dedicated consulting may require a separate written quotation.
